These Terms of Service (“Terms”) govern your access to and use of the Timill platform, services, and related products (collectively, the “Services”), provided by Timill Ab Oy (“Timill”, “we”, “us”, or “our”).
These Terms apply whether you are a Free user, a paying subscriber (Plus or Cloud), or a Custom Services customer.
By accessing or using the Services, you agree to be bound by these Terms. If you do not agree, do not use the Services.

2. Accounts
2.1 Registration
You must be at least 16 years old to create an account. By registering, you confirm you meet this requirement.
If you are under 16, a parent or legal guardian must create and manage the account on your behalf.
2.2 Free tier (Timill Teams – Free)
You can create a free account and use a single group with up to 5 users. No credit card is required for the Free tier.
2.3 Account security
You are responsible for maintaining the confidentiality of your account credentials and for all activity under your account. Notify us immediately at contact@timill.com if you suspect unauthorized access.
2.4 Group administrators
Each group has one or more administrators who can manage members, roles, and group settings. The group administrator is responsible for the group’s compliance with these Terms.
2.5 Suspension and termination by Timill
We may suspend or terminate your account if you violate these Terms or engage in conduct that harms our platform, other users, or our business. We will attempt to notify you before suspension unless doing so would enable further violations.
3. Paid plans
3.1 Plan types
Timill offers the following paid plans. Full feature lists are on our pricing page.
Timill Teams Plus
- Single group, unlimited users.
- Unlimited item types, public forms, custom roles.
- Backend scripts and automations.
- Pricing: €5 per user/month (monthly billing) or €50 per user/year (annual billing, 2-month discount).
Timill Pro Cloud
- Dedicated server instance hosted on Hetzner infrastructure within the European Union. Helsinki, Finland is the default location, and any Hetzner European location is available on request.
- Unlimited groups and teams with cross-group item linking.
- SSO: Google, Microsoft, OIDC.
- Full scripting, API and webhooks.
- Pricing: €25 per named user/month OR €250 per pool seat/month.
- Annual billing with a 2-month discount.
Timill Pro – Custom Services
- Everything in Cloud, plus on-prem hosting, discovery, implementation, and a long-term partnership.
- Custom service agreement and SLA.
- Custom integrations and development.
- Pricing: By quote.
3.2 Plan changes
We may update plans at our discretion. When we make material changes you will be notified before the changes take effect.
3.3 Cancellation – Free
Your group and data are deleted within 30 days of cancellation. You may export your data using the export function in the app before deletion.
3.4 Cancellation – Paid subscriptions (Plus / Cloud)

3.5 Cancellation – Custom Services
As defined in the separate Custom Services contract.
4. Payment
4.1 Stripe
Payment for paid plans is processed by Stripe, a PCI DSS Level 1 payment provider. Our contracting entity is Stripe Payments Europe, Ltd. (Ireland), part of the Stripe, Inc. group (United States). We do not collect, store, or process your card details on our servers. All payment data is handled directly by Stripe.
4.1.1 Direct invoicing (Cloud and Custom Services)
Timill Pro Cloud and Custom Services customers can opt for direct invoicing from Timill Ab Oy in Finland (bank transfer in EUR), instead of card payment through Stripe. In that case no payment data is shared with Stripe and billing remains entirely within the European Union.
4.2 Subscription renewal
When you subscribe to Plus or Cloud, you authorize us to charge your payment method on file at the start of each billing period.
- Monthly billing: Every 30 days, recurring until cancelled.
- Annual billing: Every 12 months (with 2-month discount applied).
4.3 Failed payments
If a payment fails, your account enters a 14-day grace period. During this period, you retain access to paid features. If payment is not resolved within 14 days, your subscription may be downgraded and your access to paid features suspended.
4.4 Refunds and cooling-off
We do not provide automatic refunds. If you believe you are entitled to a refund, contact us at contact@timill.com and we will review your request on a case-by-case basis.
EU consumer right of withdrawal: For consumer subscribers, you have a 14-day cooling-off period from the date of purchase, per Directive 2011/83/EU. Within this period, you may cancel and request a refund by contacting us at contact@timill.com.
5. Your content
You retain all rights to the data you enter, the items you create, the forms you build, the dashboards you design, and any other content you process through the Services (“Your Content”).
By using the Services, you grant Timill a non-exclusive, worldwide, royalty-free license to store, process, display, and transmit Your Content solely to provide, operate, and improve the Services. This license ends when you terminate your account and Your Content is deleted.
6. Timill’s intellectual property
All intellectual property rights in the Timill platform, including the software, design, code, APIs, documentation, and these Terms, belong to Timill or our licensors.
Nothing in these Terms transfers any intellectual property rights to you. You may not:
- Remove any Timill copyright, trademark, or proprietary notices.
- Use the Timill name, logo, or trademarks without our prior written consent.
- Reverse engineer, decompile, query, or disassemble the Services (or any part of them).
- Upload malicious code, viruses, or destructive programs.
- Use the Services for any unlawful activity.
7. Third-party services and European sovereignty
Timill is a European sovereign platform. Our application stack and storage run on Hetzner infrastructure within the European Union, and our default AI provider is European. We rely on third-party services only where necessary to operate the Services, and we keep the list short and transparent.
The third-party services we use, and what they are used for:
- Hetzner Online GmbH (Germany) — Cloud hosting for all customer data, backups, and processing.
- Stripe Payments Europe, Ltd. (Ireland, contracting entity) and its parent Stripe, Inc. (United States) — Payment processing on self-serve paid plans. Card details are handled directly by Stripe. EU data transfers are covered by the EU-US Data Privacy Framework and Standard Contractual Clauses. Cloud and Custom Services customers who choose direct invoicing from Timill Ab Oy in Finland bypass Stripe entirely.
- Mistral AI (France) — Default AI provider for AI features. Pro Custom customers can opt to use a different provider, including a self-hosted or on-premise model.
- Apple Push Notification Service and Google Firebase Cloud Messaging — Used only as transport to deliver mobile push notifications when no alternative is available on the device. On Android we use any UniPush-compatible distributor installed on the device before falling back to FCM.

8. Data processing roles
When you use Timill to process personal data of your employees, colleagues, or other contacts:
- You are the Data Controller. You determine what personal data is collected and why, and you are responsible for compliance with the Services.
- Timill is the Data Processor. We process personal data only on your instructions, to provide and operate the Services.
For Cloud or Custom Services customers, the separate Cloud/Custom Services agreement includes a detailed data processing addendum that supplements these Terms.
Timill acts as Data Controller for information collected directly from users (account registration, support inquiries).
9. Permitted use
You may use the Services only for lawful purposes and in accordance with these Terms. You agree not to:
- Harm, harass, threaten, or intimidate another person.
- Upload viruses, malware, or destructive programs.
- Attempt to gain unauthorized access to the Services or other accounts.
- Scrape, crawl, or systematically extract data from the Services.
- Use the Services to send spam or unsolicited communications.
- Reverse engineer, decompile, or disassemble the Services.
10. Service quality and maintenance
10.1 General
The Services are provided “as is” and “as available.” We aim for high availability but do not guarantee uninterrupted or error-free service. We may modify, suspend, or discontinue features at any time with reasonable notice.
10.2 Support levels

10.3 Maintenance
We perform maintenance, updates, and security patches to keep the Services operating. When possible, we schedule maintenance during off-peak hours and notify group administrators at least 48 hours in advance for scheduled downtime.
11. Limitation of liability
To the maximum extent permitted by applicable law, Timill shall not be liable for:
- Indirect, incidental, special, or consequential damages (including lost profits, data loss, or business interruption).
- Damages resulting from your use of the Services or content you access through the Services.
- Any amount exceeding the fees you paid to Timill in the 12 months preceding the claim.
This limitation applies even if Timill has been advised of the possibility of such damages.
Mandatory Finnish consumer protection law rights are unaffected.
12. Indemnification
You agree to indemnify and hold Timill harmless from any claims, damages, or expenses (including reasonable legal fees) arising from:
- Your use of the Services in violation of these Terms.
- Your Content or other third-party owners.
- Your failure to comply with applicable laws or data protection obligations as Data Controller.
13. Termination by you
You may terminate your account at any time by deleting it from the Settings area in the app or by contacting us. See Sections 3.3–3.5 for deletion timelines and data export.
14. Governing law and dispute resolution
These Terms are governed by the laws of Finland. Any disputes arising from these Terms shall be resolved in the courts of Vaasa, Finland, unless mandatory consumer protection laws provide otherwise.
For disputes between Timill and business customers (B2B), the parties agree to attempt mediation before initiating formal court proceedings.
15. Miscellaneous
Severability: If any provision is found invalid or unenforceable, the remaining provisions remain in full effect.
Assignment: You may not assign these Terms without our prior written consent. Timill may assign these Terms in connection with a merger, acquisition, or sale of assets.
Entire agreement: These Terms, together with any applicable Cloud, custom services, or DPA addendum, constitute the entire agreement between you and Timill regarding the Services.
Changes: We may update these Terms from time to time. When we make material changes, we will notify registered users of the key updates. Your continued use after changes constitutes acceptance of the updated Terms.
