Use case

Every deviation logged, owned, and closed. With the audit trail to prove it.

Timill replaces the Excel deviation list nobody trusts. Log non-conformances from the floor with a photo, assign corrective actions, and hand your next auditor a complete history in two clicks.

Where deviations go to disappear

  • A deviation is spotted on the floor. Someone writes it on paper, or remembers to add it to the Excel file later. Sometimes.
  • The corrective action is agreed in a meeting, then lives in someone's inbox until it's forgotten.
  • Before a customer audit, the quality manager spends two days reconstructing what happened from emails and memory.
  • Dedicated eQMS platforms would fix this, at enterprise prices, with months of implementation, and more compliance structure than a 20–100-person company needs.

Excel is too loose. An eQMS is too heavy. This is the gap Timill fills.

The configuration

Your quality process, as a data model. Not a template

Timill has no fixed data model. For non-conformance tracking, we set up (and then adapt to your exact process):

Item types

Non-Conformance

Source (internal / customer / supplier), severity, description, photos, detected by, detected on, linked production order or machine, root cause, status (New → Under investigation → Corrective action → Verification → Closed).

Corrective Action

Owner, deadline, action taken, effectiveness check, linked to its NC.

Audit (optional)

Findings linked as NCs, so audit follow-up runs in the same flow.

Links that create the trail

NC → production order → machine → corrective action. Ask "show me every deviation on this machine this year" and the answer is one click, with the full discussion attached to each item.

Automations

New NC → quality manager notified. Corrective action overdue → escalation. Severity "critical" → owner assigned immediately.

From the floor

An operator logs an NC on their phone in under a minute — photo, description, done. No login to a desktop system, no paper.

What each role sees

Operator (mobile)

Report a deviation; see their assigned actions.

Quality manager (dashboard)

Open NCs by severity and age, overdue corrective actions, trends by source and machine.

Owner / GM (dashboard)

NC trend over time, cost-of-quality signals, audit readiness at a glance.

A day with it

  1. 07:40

Operator spots a bad batch of machined parts. Phone out, new Non-Conformance, photo attached, linked to the production order. One minute.

  2. 07:41

Quality manager gets the notification, sets severity, assigns a corrective action to the production lead with a Friday deadline.

  3. Friday

The action is marked done with a note on what changed. The effectiveness check schedules itself for two weeks out.

  4. Next audit

The auditor asks about deviations on the milling line. The answer is a filtered list: every NC, action, photo, and discussion, timestamped. No reconstruction.

Who this fits

Common in: machine shops and manufacturing subcontractors, food production, construction, electronics assembly, labs — any team with ISO 9001 (or heading there) and 10–200 people. If your quality tracking currently lives in Excel and email, this configuration was built for you.

Why Timill and not…

Excel

No ownership, no notifications, no photos from the floor, no trustable history.

An eQMS (ETQ, Ideagen, etc.)

Built for regulated enterprises; you pay for compliance machinery you don't need and adapt your process to theirs.

Generic task tools (monday.com, Asana)

A deviation is not a task. It needs your fields, your severity scale, your links to orders and machines. Timill lets you define the object itself.

And because it's Timill, the quality process isn't an island: the same platform runs your production tracking, maintenance, and any other process you define. On-premises deployment available for teams that keep data in-house.

Before Timill, our founder built and ran this exact process at a Finnish industrial company, first in spreadsheets, then better. That workflow is now the starting configuration on this page.

Questions

Do we have to use your structure?

No. This is a starting point; fields, statuses, and workflow are adapted to your process during setup.

How long does setup take?

Simple configurations are running in days, not months. We set it up with you.

Can operators use it without training?

Reporting an NC from the phone is a one-minute flow. Training for reporters is typically one short session.

What about our existing Excel history?

Spreadsheet import brings your existing deviation log in so history isn't lost.

Can it run on our own servers?

Yes — on-premises deployment (Docker) is fully supported.
